Most hotels run the restaurant till and the hotel software as two products, joined by an interface. In DelivCore they are one system: the cashier picks a checked-in guest, and the bill lands on that guest’s folio.

Room charge is a payment method at the till

When an order is ready to pay, charging it to the room sits next to cash and card. The cashier sees the guests who are checked in with an open folio, picks the room and confirms. An optional note, such as “room service, two coffees”, travels with the line onto the folio, so reception knows what the charge was for.

Stays that are past their departure date, or that have no room assigned yet, are still listed, marked and placed after the in-house guests. The cashier sees the exception instead of a missing name.

No interface between the POS and the PMS

With a separate restaurant POS, every room charge has to cross an interface: look up the room, post the amount, reverse it if the order changes, reconcile at night. When the interface is down, staff fall back to paper slips that someone re-types at checkout.

In DelivCore the POS and the hotel software share one database. A room charge is on the folio the moment it is confirmed, and reception sees it straight away. If the order is canceled while the stay is open, the charge comes off the folio by itself.

Two safeguards cover the most common mistakes: a cart that was already paid at the till cannot also be charged to a room, and an order already posted to one room cannot be posted to a second one.

Every outlet on the same POS

The restaurant, the bar, the terrace and the pool bar take orders on the same POS, so a guest can sign for a charge anywhere on the property. Waiters can charge a table’s bill to a room from their own app, and the items reduce stock exactly as a normal sale does.

Orders still reach the kitchen display or the station printer like any other ticket. Room charge changes how the bill is settled, not how the kitchen works.

Orders from the room, charged to the room

A QR code in the room can open the same menu the restaurant uses. If the hotel turns it on, the guest can charge the order to the room from their phone. The option is off by default, the hotel can cap the amount per order and per day, and the guest’s link stops working at check-out.

One folio, one checkout

Nights, city tax and the charges from every outlet sit on one folio, so checkout is a single bill. The folio prints as a clear statement with a VAT summary, and accommodation and food keep their own VAT rates on the same document.

Writing off a folio balance needs a manager or the owner, so unpaid charges cannot be cleared by any member of staff.

Where it fits

This setup suits hotels, resorts and guesthouses that run their own restaurant, bar, pool bar or room service. If the only food you serve is a breakfast included in the rate, the hotel software alone may be enough. A POS earns its place when guests buy things during their stay.

What is room charge posting in a hotel POS?

Do I need an interface between the POS and the PMS?

Not with DelivCore. The POS and the hotel software are the same system, so a room charge needs no interface, no nightly reconciliation and no re-typing at the front desk.

What happens if an order charged to a room is canceled?

If the stay is still open, canceling the order reverses its charge on the folio automatically. Writing off a folio balance needs a manager or the owner.

Can guests charge orders from their room?
